Reduced Schedule
Part-year employees are subject to Reduced Schedules. All employees who are part-year will be given a reduced schedule letter, if they are out for more than a full pay period, generated by HR and given by their Supervisor, that will explain the details of their layoff period. The reduction in your schedule is subject to change at any point. You will receive an additional letter with your return date. Once contacted, Shasta Head Start expects you to return to work within 72 hours unless otherwise arranged by your manager.
If you plan on resigning at any time during the layoff period, please inform us as soon as possible so that we may consider other candidates for your position. By letting us know as soon as possible you will enable Shasta Head Start to provide continuous service to our children and families.
To file for unemployment insurance, you will need to call the Employment Development Department (EDD) at 1 (800) 300-5616 or apply online at www.edd.ca.gov. Be sure and let the EDD representative know that Shasta Head Start is a private non-profit agency and that employees are not part of any school district. Shasta Head Start employees are not federal employees.
If your schedule will be reduced for more than one full pay period, your PTO will be paid out on the final check prior to your reduced schedule unless you request to maintain your balance. To maintain your PTO balance, you must submit a Paid Time Off – Reduced Schedule Cash Out Declination form to FISCAL before or on your last day of work. The form can be found on SOP 7.3.2.4 PTO Cash Out.
Managers of Reduced Schedule Employees, please follow the directions below.
- Please ensure that all employees’ weeks per year are correct within Paycom.
- Please complete the Reduced Schedule date column of the Reduced Schedule List given to you by HR. The date needs to be the first day of the employees’ reduced schedule.
- If there are new employees or ones who are intentionally left off the list, please let HR know.
- One month into the reduced schedule, HR will send out the spreadsheet for you to review and verify that the first day back off of reduced schedule is correct.
- HR will send out an email the Wednesday before payroll processes to gather return dates for any employee who may have been called back to work over their layoff period.
- HR and FISCAL MUST be notified of any dates when the employee comes back to work outside of their reduced schedule.
