Copiers

Toner

Centers:

Each center is responsible for maintaining their toner supply. To prevent from running out of toner, when a spare cartridge is used, it is time to place an order. Centers should have one spare toner each for black, cyan, magenta, and yellow.

Admin:

Operations Clerical Support will maintain the toner supply for the Admin Office. When staff utilize a spare toner, they need to inform Operations Clerical Support. Admin 6635 printers are HR & Fiscal. The Admin 408 printer is Admin Workstation. Both printers in the copy room also require staples – each will have their own type. Ensure at least one spare box of staples is on-hand for each copier.

Ordering Process – Centers

1. Email Carrel’s at info@carrels.com, CC Area Manager. The email must include the center name, center address, printer ID (located on the printer), and toner cartridge color (reference the spare box needing replaced).

• Select your center from the template emails available at N:\_Shared_files_TEMP\SOP_Toner
• When the email opens, it will automatically CC your Area Manager
• All of the center’s copier options are in the email, delete accordingly until you have only the specific copier toner that needs to be replaced. Do not save any changes made to the template.
• Your signature info will be inserted

2. Carrel’s will deliver the order to the center typically within 1-3 business days.

Ordering Process – Admin Office

Carrel’s:

1. Email Carrel’s at info@carrels.com with printer model (6635, 408, or 7003) needing toner (reference the spare box needing replaced). Template for the toner can be found N:\_Shared_files_TEMP\SOP_Toner.

2. Carrel’s will deliver the order to the Admin Office typically within 1-3 business days. The Operations Clerical Support will receive the order and place the toner into the toner storage area for Admin.

Caltronics:

1. Email supply@caltronics.net. The email needs to include the printer ID (located on the printer), toner cartridge color (reference the spare box needing replaced), and, if applicable, a waste toner bottle. Toner is delivered to the Admin Office typically within 1-3 business days. The Operations Clerical Support will receive the order and place the toner into the toner storage area for Admin. Maintenance

Centers should contact Carrel’s directly by calling 241-3718 or emailing lori@carrels.com with the machine ID# and a description of the service call.

Operations Clerical Support should contact Caltronics by going to the Caltronics website and using the portal to place a service call.
