Travel and Per Diem
Training/Travel Request Policy and Procedure for Out-of-Agency Training
Policy:
Upon determination of an appropriate training opportunity, the supervisor should direct staff to submit a completed Training/Travel Request Form, with completed training registration form or flier for the training attached.
Procedure:
Upon receipt of Training/Travel Request Form the supervisor, in communication with a manager, will approve or disapprove the request.
- When the registration fee is over $100.00, director approval is needed.
- If several staff from the teams request to attend the same training, managers and director will make a mutual determination as to who will attend
The supervisor or manager will give the completed Training/Travel Request Form to the Executive Assistant as far in advance as possible, but no less than three (3) weeks in advance.
Completed, signed forms must be submitted to the Executive Assistant by interoffice mail, email or scan.
- The Executive Assistant will register the staff member for the training, make travel and lodging arrangements, and request per diem check as needed.
- If flights are needed, the Training/Travel Request Form must have the traveler’s LEGAL NAME AS LISTED ON THEIR REAL ID COMPLIANT DRIVERS LICENSE OR PASSPORT and THEIR BIRTHDATE prior to scheduling flights.
- *A new law effective May 2025 requires all individuals flying in the U.S. to carry a REAL ID compliant license or Passport. Travelling staff in need of a flight must bring one of these two options to the airport for identification
- For travel lasting 24 hours or more, travelling staff may be issued a per diem check for meals during travel. Travel that does not last 24 hours is not eligible for meal per diem. The Executive Assistant will coordinate with the Fiscal Department to have per diem checks cut and delivered to the travelling staff no less than one week prior to departure date.
- If multiple staff are attending a training, the Executive Assistant will work with supervisors to assign roommates. Roommate requests or single room requests are not guaranteed.
- If flights are needed, the Training/Travel Request Form must have the traveler’s LEGAL NAME AS LISTED ON THEIR REAL ID COMPLIANT DRIVERS LICENSE OR PASSPORT and THEIR BIRTHDATE prior to scheduling flights.
- The Executive Assistant will provide travelling staff with a PDF itinerary and ticket(s), Conference Travel Guidelines, and Bed Bugs Resource if applicable.
Local, Low Cost (under $60.00) Training Policy:
- For local, low cost training on the weekend or after work hours that staff would like to attend for professional development, they should get approval from their manager and:
- Register and attend the training
- Turn in a Check Request (LINK) with the training receipt and training agenda to the Fiscal Department.
