Portfolio Collection

At the end of each program year, parents are given a portfolio collection which includes information about their child’s development and progress throughout the year. The portfolio collection is made up of observational notes, examples of the child’s work, photos and other items gathered over the course of the program year. The portfolio is presented to parents and discussed during the final home visit.

Caregivers and Teachers are responsible for building the portfolio collection for children enrolled in center-based programs, while Home Visitors are responsible for building portfolios for the children they serve who are enrolled in the home-based program.

Like observational notes, portfolio collections are created using the Learning Genie software.

Observational notes which show the child’s progress are gathered throughout the year and tagged with the custom tag “Portfolio Collection” for inclusion in the child’s portfolio. Observational notes are tagged during each rating period for inclusion in the portfolio.

When entering observational notes into Learning Genie, staff should:

  • Identify observational notes that demonstrate the child’s skill for the rating period.
  • Tag the notes using the custom tag, “Portfolio Collection” to include the note in the portfolio collection. Optimally, observations should be tagged throughout the course of the rating period (not all at the end) and must be tagged during each rating period.
  • Observations for individual child goals and parent observations are to be included in the portfolio collection. Use the custom tags “Child Goal” and “Parent Observation” in Learning Genie along with the custom tag “Portfolio Collection” to ensure all are apart of the child’s portfolio.
  • Identify at least one observation note from each DRDP domain per rating period and tag the observation for inclusion in the portfolio.
  • Add work samples (art, writing, etc.) collected throughout the year and include them in the portfolio binder. Photos can also be entered into Learning Genie and tagged using the “Portfolio Collection” tag.
  • Print the portfolio collection after each DRDP is completed and insert the printed copy into the child’s portfolio binder.
  • Discuss the child’s developmental progress at each parent/teacher conference throughout the year using the printed information in the child’s portfolio binder.

At the end of the year, the second Portfolio Collection is printed and added to the portfolio binder, along with any additional work samples, photos, and a copy of the child’s first and second DRDP Parent Progress report.

The complete portfolio collection (binder) is reviewed with the parents at the final home visit, during which staff and parents will:

  • Look at the child’s developmental progress
  • Discuss the child’s strengths
  • Review the child goals met/unmet
