Using Childplus To-Do Lists

Shasta Head Start utilizes agency wide shared to-do lists in Childplus for the tracking and follow-up of Incomplete Requirements, Expired Events, Follow-up Needed and Immunizations Due. Each to-do list can be filtered by: location (Site), item, staff member, for the ease of viewing the data. Family Service staff and Family Worker/Supervisors must review these to-do lists on a weekly basis and review with their supervisor at the end of the month.  This must be done at as part of the Family Services Monthly Summary Report process. Refer to Family Services Monthly Summary Report. Staff must make sure all data entry is completed and up to date prior to reviewing the to-do lists.

  • Incomplete Requirement To-Do-List – used for tracking events that are associated with timelines (30,45,60,90 day) Events such as: Health Packet, Hearing and Vision Screeners, Mental Health and Development Screeners, Dental Exam/Screening, etc.… The to-do list will show what is past due, currently due or coming due in the future for each child.
    • For past due events- work with the family to complete the requirement as soon as possible.
    • For current due events- identify if the family has completed the requirement. Update ChildPlus event to show current status of the health event. Remind family that the requirement is due.
    • For coming due events- remind the family about the health requirement that is coming due. Ask if they have scheduled an appointment or need support with scheduling an appointment.
    • For any events that will not be completed within the required timeline, follow Documentation of Non-Compliance

*Hearing and vision screenings are completed internally. If a hearing or vision screening is incomplete, the FSW should complete the screening and enter into ChildPlus as soon as possible (prior to being past due). Refer to 45 Day Requirements: Sensory Screenings

* If unable to retrieve documentation of TB risk assessment from the provider, FSW can conduct in-house TB risk assessment prior to being past due. Refer to 30 Day Requirements: Tb Risk Assessment

* If teaching staff have made every effort to complete the Mental Health Screener (ASQ-SE) with the family and have been unable to do so, they may complete the screener on their own in order to meet the required deadline.

  • Expired Events To-Do-List – used for tracking events that met the initial timelines (30,45,90) requirements but have or will expire during the school year. Staff will work with families to get these expired events completed as soon as possible to keep the child up-to-date.

*Hearing and vision screenings are completed internally. If a hearing or vision screening has expired, the FSW should complete the screening and enter into ChildPlus as soon as possible.

* If unable to retrieve documentation of TB risk assessment from the provider, FSW will conduct in-house TB risk assessment as soon as possible.

  • Follow-up Needed To-Do-List – used for tracking failed events that need follow up and Staff will use this to do list to ensure that they are aware of the children that require follow-up for health concerns and have conducted follow-up. The 3065 Childplus report can be run in conjunction with this to do list to show which failed events have or have not received follow-up. 3065 Health Event Status
    • Refer to Section 8 Childplus of the portal for more information about follow-up requirements for a variety of failed events.
    • Children will continue to appear on this to-do list until the child’s treatment for the identified concern has been completed. When treatment is completed, and the event status is updated to “treatment completed” then the child will no longer populate to this to-do list.
  • Immunizations Due To-Do-List – used for tracking immunizations that are due or upcoming for children to stay current. Refer to Immunization Requirements for more information regarding immunizations.
