Preparing for the Enrollment Meeting

Scheduling the Meeting

  1. When you schedule the enrollment meeting with the family, use the Items Needed for Enrollment Checklist as a guide to inform them of the documentation to bring to the meeting.
    Notes:

    • If the child has not had a physical or dental appointment within the last year, have them schedule the appointment and bring the scheduled dates with them to the meeting. We can share the following lists of providers if the family needs them.Shasta County Doctors

    • If the family is applying to a State program, ask them to bring the support documentation as listed in the SOP Applying to a State Program.
    • Schedule the meeting with enough time to complete the paperwork. New families take longer than returning families, but it also depends on the number of children enrolled. Normally the meeting takes a half hour to an hour, but it could go longer if you are completing State application forms.
      • You may suggest to the parent to allow for extra time if they bring their child with them to the enrollment. The process is quicker if they find care for their child.
      • If children will attend the appointment, prepare a space for them to play with age-appropriate items while you complete the paperwork with the parent.
    • Home Visitors will complete the paperwork from the enrollment meeting during the first three visits to the family. Refer to the SOP First 11 Weekly Home Visits for instruction.
  2. Contact the family using the parent’s work contact (email, text, or call) the day before (or morning of) the meeting to remind them. Reschedule as needed. If the family does not show up to the enrollment meeting, refer to the SOP Addressing No Shows.

Tips for Streamlining the Process

The more you know before going into the Enrollment Meeting, the more efficient you will be. If you have time, you may want to be proactive and confirm the child’s health information, health issues, or allergies. Before the enrollment meeting:

  • Confirm the child’s health information, health issues, or allergies before the meeting so you can have the paperwork ready for them to take to the doctor
  • Access the Statewide Immunization Registry to confirm the child’s immunizations are current. To access the Registry, contact the Health Clerk. This information may also be available through the child’s doctor’s office. Foster parents have this information on the health passport.
  • If the child has had a doctor or dental appointment, fax the appropriate forms from the Health Enrollment Packet to the medical or dental office. They should complete the forms and fax them back to us.

Note: The child can start the program without confirmation of the dental appointment, however you may need to be politely persistent to receive the completed form from the dental office.
